Administrative Specialist

POSITION SUMMARY
Administrative Specialist is responsible for assisting the Careers team by supporting the administrative needs of the group, allowing for more efficiency within the team as a whole. Located at 8032 N Oak Trfwy. Kansas City, MO 64118. Accountable for facilitating communication between Job One Careers and Job One Employment division. Responsible for providing ongoing support and communication to clients who are no longer receiving active services through MDVR.
 
EDUCATION
Bachelor’s degree in Human Services, Management or related field required.  Three years of related work experience preferred.  Experience may be substituted for degree.
EXPERIENCE
Knowledge of clerical and administrative procedures and system.  Experience working with individuals with disabilities is desirable. Education may substitute for experience.
 
COMPUTER SKILLS
MS Office: Word, Excel, Outlook, Internet.  Systems management.
 
CERTIFICATES AND LICENSES
 Must have a valid driver’s license at time of application and obtain a Class E Chauffeur’s License within 30 days of hire.
1st aid/CPR certified preferred
 
OTHER REQUIREMENTS
Ability to problem solve and demonstrate critical thinking.
Attention to detail.
Knowledge of programs and services for people with developmental disabilities preferred.
Willingness to travel on company business in personal or company vehicle.
Good written, oral, and communication skills.
Ability to be flexible.

Affirmative drug and alcohol screening.

ESSENTIAL JOB FUNCTIONS

  • Monthly follow along of Supported Employment client after 90-day VR closure.
  • File set up and maintenance.
  • Billing preparation prior to submitting to accounting department.
  • Handle requests for information and data.
  • Quality assurance includes but not limited to exit surveys, customer surveys, updating expired releases and communication of rights.
  • Assist with monthly and semi-annual reports to EITAS and/or other funding agencies.
  • Maintain critical incident reporting.
  • Complete annual analysis for reasonable accommodation requests, critical incidents, and barrier plan.
  • Assist with providing information for quarterly VR reports in an accurate and timely manner.
  • Service planning for clients remaining in program after VR closure.
  • Provide support to the Director of Employment Services, Director of DMH/Community Based Day Services, Sr. Administrative Specialist and Employment Specialist.
  • Management of case notes and summaries, including sending monthly client reports to VR Counselors in a timely manner.
  • Liaison between Job One Careers and Job One employment division.
  • Transports program individuals when related to vocational assessments, job development, and job retention services, as requested or approved by your supervisor.
  • Job Coaching as needed.
  • Maintains records and composes relative correspondence. 
  • Creates client file in database, enters essential information and maintains client file.
  • Communicate in professional manner with outside service providers related to career planning, job development, placement and job retention such as: Missouri Vocational Rehabilitation, placement specialists, job coaches, community employers and support coordinators. 
  • Provide troubleshooting assistance and support as needed to help resolve problems/obstacles for clients served.
  • Participates in team meetings, training or employer/employee meetings as needed.
  • Perform and/or assist with monthly and semiannual safety drills and inspections.
  • Maintain orderly and professional office appearance.  May include light housekeeping tasks.
  • Accepts and willingly carries out special assignments or duties, when requested.
  • Projects positive image of Job One and program individuals to the local community.
  • Assures the confidentiality of information regarding program individuals.
  • Abides by ethical and legal guidelines for case communication and recording.
  • Respects the rights of all individuals served.
